VE DAY 70 – ‘A PARTY TO REMEMBER’ – APRIL/MAY 2015
In late 2014 we opened discussions with Ginger Owl Productions in regards to the current system used to deliver their Accreditation Services. The team at Ginger Owl were looking for a new system that would sync in real time and to move away from the admin heavy current processes. AllowMe fitted the requirement perfectly and in April 2015 we worked closely with Julie & Nancy to configure the system to deploy for the VE Day Concert – ‘A Party To Remember’.
The concert was produced by Live Nation & the BBC in partnership with The Royal British Legion and took place at London’s Horse Guards Parade on Saturday 9 May. The gig was a focal point of the national celebrations for the 70th anniversary of VE Day alongside the main celebrations on the Sunday, centred around Westminster Abbey.
We provided Ginger Owl with a system configured to look after not only the artists performing at the concert, but also the Contractors, Production, Artist Entourage, VIPs/Guests and Press. A 6 tier pass structure was put in place consisting of Production Pass, AAA Pass, Artist Pass, FOH Pass, Build Pass and Press Pass and a custom designed online Portal created for data capture.
Due to the sensitive nature of the event and the high security risk with members of the Royal Family in attendance, it was also a requirement to capture additional information for those applying for passes, including Passport details. This is where our Auxiliary Records function really comes into its own and as well as providing the platform to capture additional data, also offers a separate workflow to handle said data. The standalone processing offered with Auxiliary Records also gives the opportunity for third party authorities to ‘vet’ individuals in advance of pass approval/rejection.
The event was a huge success with well over 1000 passes processed through the system. We appreciated the big leap taken by Ginger Owl to move from their previous system to use AllowMe, however, the team took to the system like the proverbial duck to water and can’t imagine working on an event without it!

Ginger Owl Productions are currently using AllowMe on the Ramblin Man Fair event and are looking to use the system for at least another two events over the summer period.
